Recruiting Email Templates: Copy-Paste Examples by Sport
One template does not fit every sport. A swim coach filters on times and course; a soccer coach wants minutes and position. Here is a fill-in-the-blanks template plus the exact stats coaches want, sport by sport.

A recruiting email has one job: let a coach decide, in under a minute, whether you are worth a spot in their class. Coaches do that by scanning for numbers — the specific metrics that matter in their sport. Give them the wrong ones, or bury them in a wall of text, and they move on. This page gives you a universal skeleton, then a worked example for six of the biggest sport families: track and cross country, soccer, volleyball, swimming, tennis, and water polo. Playing something else? The skeleton adapts to every sport — swap in the stats your sport's coaches filter on. Copy the one that fits, replace the brackets with your real numbers, and keep the whole thing under 200 words.
The universal skeleton
Every good recruiting email shares the same bones. The subject line follows one formula, and the body has five parts.
Subject: Sport + Grad year + Position/Event + one headline stat + Your name
- Who you are — name, grad year, position/event, high school or club, city and state.
- Your stats — the two or three numbers a coach in your sport filters on (see below).
- Academics — GPA and test scores. This decides admissibility, especially at DIII.
- Why this program — one honest, specific reason.
- Proof and an ask — a film link, your schedule, and confirmation you completed their questionnaire.
Only the stat block really changes between sports. Here is what to put in it.
Track & cross country
Distance and track coaches recruit on marks and times, full stop. List your best marks with the meet and date, note indoor versus outdoor, and give your primary and secondary events.

Soccer
Soccer coaches want position, level of play, and minutes. Field players lead with minutes, goals, and assists; goalkeepers lead with clean sheets, save percentage, and height. Your club, league, and showcase schedule tell the coach where and when they can evaluate you.

Volleyball
Volleyball is a measurables sport. Coaches want your position, height, and jump touches (approach and block), plus club and region. Add hitting or passing efficiency if you have reliable numbers.

Swimming & diving
Swim coaches recruit almost entirely on times, and the course matters — always label short course yards (SCY) or long course meters (LCM). List your best events with times and note any sectional, futures, or state cuts.

Tennis
Tennis coaches lead with your UTR and ranking, then singles/doubles record and recent tournament results. UTR is the single most useful number you can put in the subject line.

Water polo
Water polo coaches want your position, club, and any ODP or national-team experience, plus goals, assists, steals, and exclusions drawn. Be geographically realistic: about 73% of the women's water polo coaches in our data are at California schools, so most programs — and most competition — are on the West Coast.

Playing a different sport? Same skeleton, different stat block
The six examples above cover the mechanics, but the formula transfers to every sport we sell a list for. A football coach wants position, height and weight, verified film, and a 40 time if you have a real one; a basketball coach wants per-game production, height, and your AAU circuit; a baseball or softball coach wants velocity, exit velo, and measurable defensive tools; a golf coach wants scoring average and tournament finishes. Whatever the sport, the pattern holds: two or three verifiable numbers a coach can filter on, academics, film, and one honest reason for that program. What to attach to every email
- Highlight film — two to three minutes, best clips first, jersey number visible.
- Competition schedule — so a coach can watch you live, with times and locations.
- Academic profile — GPA, test scores, intended major.
- The questionnaire — complete the program's recruiting form; it routes you to the right coach.
Send it to the right, current coach
A perfect template still fails if it lands in the wrong inbox. Email the coach who handles recruiting for your sport — often an assistant, not the head coach — at an address that is actually current.
