Privacy Policy

1. Overview

This Privacy Policy explains what information CollegeCoachEmails ("we," "us") collects when you use collegecoachemails.com, how we use it, and the choices you have. It covers two distinct things: (a) the personal data of our customers — athletes, families, and recruiting organizations who buy our lists — and (b) the coach contact data that makes up our product, which is addressed in Section 8. We keep both simple: we collect only what we need to run the Service, and we never sell customer data.

2. Information we collect

• Account information. When you sign up we collect your email address and, if you sign in with Google, your name and profile photo as provided by Google. Authentication is handled by Google Firebase Authentication.
• Payment information. Payments are processed by Stripe. Your card details go directly to Stripe — we never see or store your full card number. We keep a Stripe customer ID and subscription status so we know what you have access to.
• Usage and analytics data. We use Google Analytics 4 to understand how visitors use the site (pages viewed, referral source, approximate location, device type). This data is aggregated and does not include your list downloads' contents.
• Download logs. We record when your account downloads a list (which sport, which format, and when) to operate the service, prevent abuse, and enforce our license terms.
• Support correspondence. If you email support@collegecoachemails.com, we keep the correspondence so we can help you.

3. How we use your information

• To create and secure your account and deliver the lists you purchased;
• To process payments, renewals, and refunds through Stripe;
• To send transactional email (receipts, payment issues, important service changes);
• To understand aggregate usage and improve the Service;
• To prevent fraud and enforce our Terms of Service, including the data license;
• To comply with legal obligations.

We do not sell or rent our customers' personal information to anyone, and we do not use your data for third-party advertising.

4. Service providers (processors)

We rely on a small set of processors to run the Service:

• Google Firebase (Google LLC) — authentication, database, file storage, and hosting. Your account data lives in our Firebase project on Google Cloud.
• Stripe (Stripe, Inc.) — payment processing, subscription billing, and the customer billing portal.
• Google Analytics 4 (Google LLC) — site usage analytics.

Each provider processes data under its own terms and security programs; we share only what is necessary for them to provide their service to us.

5. Cookies

We use cookies and similar technologies for two purposes: essential cookies that keep you signed in and make the site work (Firebase Authentication), and analytics cookies set by Google Analytics that help us understand site usage. You can block or delete cookies in your browser settings; blocking essential cookies may prevent you from signing in.

6. Data retention and security

We keep your account data for as long as your account exists. If you ask us to delete your account, we delete your personal information within 30 days, except for records we must keep for tax, accounting, or legal purposes (for example, Stripe payment records). Data is stored on Google Cloud infrastructure with encryption in transit and at rest, and access is restricted to what is needed to operate the Service.

7. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, email support@collegecoachemails.com from the address on your account and we will respond within 30 days. You can also cancel your subscription at any time through the billing portal in your account.

8. About the coach data in our products

Our product is a directory of professional contact information for college athletics coaches — names, roles, schools, and work email addresses and phone numbers. This information is compiled from publicly available official college athletics staff directories published by the schools themselves, and it is re-verified weekly. It is business contact information published in a professional capacity; we do not compile home addresses, personal phone numbers, or other private details.

If you are a coach and want to be removed: email support@collegecoachemails.com from any address with your name and school, and we will remove your record from future list publications, normally within 7 days. Our subscribers are contractually required to use the data only for athletic-recruiting outreach and to honor opt-out requests.

9. Children

The Service is intended for adults. High-school athletes under 18 should use the Service through a parent or guardian, and the account should be created and managed by the parent or guardian. We do not knowingly collect personal information from children under 13; if you believe a child has created an account, contact us and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy here and change the effective date at the top. For material changes, we will also notify you by email or an in-app notice.
